Earthworks Expo Exhibitor FAQ

How will this event be publicized?
EarthWorks Expo will be widely publicized by radio, TV, magazine ads, newspaper stories, direct mail and email announcements. We will be assisted by the reputable PR firm A-Train Marketing Communications. We will have numerous radio spots on AM760 Progressive Talk and KUNC 91.5 FM (NPR for northern Colorado), among other radio stations. We will have display ads in Mother Earth News, Utne Reader, Natural Home magazine, Smart Energy Living, The Healing Path, the ConservED Guide, the ReDirect Guide, and other periodicals to be announced. We will have calendar listings in numerous local and regional newspapers and entertainment weeklies. We will email expo information to thousands of selected recipients along the Front Range.

What are the expo hours?
Friday, July 27:  11 am to 8 pm
Saturday July 28:  10 am to 8 pm
Sunday, July 29:  10 am to 6 pm

What does my booth rental include?
Each 10x10 booth space includes pipe & drape backing and siderails; one unskirted/uncovered table (8’ x 30” standard; 6’ or no table by request), two chairs, wastebasket, 44”x7” identifying sign; daily cleaning of exhibit hall isles/common areas; daily emptying of wastebaskets; free parking. The exhibit halls are carpeted.

How many floor passes do I get?
Exhibitors reserving a 10x10 booth space get four all-inclusive passes, which permit the bearer access to all exhibit halls, all workshops and all keynote speeches during the three day event. For 10x20 booth space, six passes are included. For booth space larger than 10x20, eight passes are included. Additional passes may be purchased at online/advance sale rate.

What optional extras are available?
Optional booth equipment and services available at extra cost include fabric skirting and vinyl topping of table (recommended), AC power, telephone hookup, internet hookup, extra furniture, custom carpeting, racks and pegboards, special signage, daily booth cleaning.

How do I order optional items?
AC power, phone and internet hookups are ordered directly from Merchandise Mart. Other items, including recommended table skirting, custom signage, other furniture, booth cleaning and special material handling are ordered from Brede-Colorado. A complete information kit with order forms will be emailed to you by Brede-Colorado about 90 days before the event; or you may download the information kit from this website starting April 1.

Can I pre-ship booth materials?
Booth display materials and contents may be pre-shipped direct to Denver Merchandise Mart for receipt not earlier than July 17, 2007, and will be delivered to booth space on move-in day. Optionally, materials that are large, very heavy, fragile or valuable may be shipped to Brede-Colorado, the contract services provider, and will be delivered to your booth on move-in day.

When is move-in and move-out?
Move-in day is Thursday, July 26, from 2pm to 8 pm. Exhibitors may also move in on Friday, July 27, from 8 am to 11 am. No move-in is permitted before 2 pm on Thursday or after 11 am on Friday. Move-out may take place from 6 pm to 8pm on Sunday, July 29, or on Monday, July 30, 8 am to noon.

What about union labor?
Denver Merchandise Mart is a non-union facility. Booth setup and takedown may be handled without restriction by employees of the exhibitor/booth-holder, in coordination with Merchandise Mart personnel and Brede-Colorado, the contract service provider. However, Brede-Colorado is a union company, and union labor rules and rates may apply if you choose to hire Brede personnel to assist in material handling, setup or takedown.

Can I serve or sell food or beverage at my booth?
Samples of food or beverage not larger than 1 oz may be given away at your booth. Food or beverage that cannot reasonably be consumed inside the Merchandise Mart may be sold at your booth, subject to approval. All other food and beverage sales and service must be conducted only by authorized agents of the Denver Merchandise Mart.

Can I attach parts of my booth display or signage to the wall?
The Denver Merchandise Mart strictly forbids any occupant or exhibitor from attaching anything, in any manner, to any wall of the building.

Can I offer a workshop?
Yes, any exhibitor is entitled to present at least one workshop during the three day event, with approved application, and may present up to two workshops per day on a space-available basis. There is no charge for using workshop space or AV equipment when available. Workshop rooms can accommodate 50-200 people. Workshops run 60 or 90 minutes (specified in application). Workshop presenters are compensated $1 per attendee. Workshops may run concurrently with keynote speeches and/or other workshops. If interested, download a workshop application here.
